Setting and technical characteristics

1/ A full web Field service solution

Opti-Time Field service scheduling software is a “full web” solution, fully accessible via a web browser.
Users may connect to their account with a login and password via a browser at any time and in any location.

 The solution can be installed on site or used through a service hosted by OPTI-TIME SA (Service As a Software mode).
 
 

2/ User interface: a single application for all of the company's users

Opti-Time RMS functions are organised by tabs: call centre, assignment order, technicians, schedule, maps, etc.

Both administrator and user profiles are available for access. Rights and function display can be set for each profile.

  • Call centre: appointment portal with available time slots
  • Logistics planner and manager: portal for viewing, changing and validating schedules.

  • Field teams: portal for retrieving schedules and road maps.

3/ Setting and configuration

Using the numerous configuration options, you can generate customized schedules, perfectly suited to your business and your organization.
This data can be imported from an Excel file, and can be changed manually via the web interface.

The interface can be adapted to your company's graphical charter.
Opti-Time Resource Management Suite enables objects to be completely customised according to the line of business and nomenclature of the company.
Users therefore find themselves in their usual working environment and get used to the tool rapidly.

In supermarket distribution, "Customers", "Orders", "Deliveries" and "Vehicles" will be modelled.
In an after-sales service business we will talk of "Contracts", "Appliances", "Visits", "Technicians".

 

Modelling the company's activity:

The initial approach consists of modelling how the company operates as faithfully as possible: its organisation, resources, customer type, conditions and types of intervention, social data around staff activity.

Modelling is generally accompanied by a detailed study of the company's practices, which identifies critical processes that will be priorities in the implementation of the project and empirical practices that will undoubtedly have to be modified as part of the computerised scheduling process.

New methods which take advantage of computing solutions, can also be considered.

Modelling is used to configure the attributes for the various objects in the Opti-Time RMS solution: customers, resources, schedules and jobs.

 

Solution users may then complete the fields listed below.



Configuring your field service staff data:

  • Personal information (family name, given name, e-mail address ...)
  • Skills (plumber, electrician, etc.), level of expertise (senior, junior, etc), status (fixed-term contract, sub-contractor)
  • Assigned sector (geographic zones for visits, main and secondary)
  • Address of agencies and staff (option of attaching a staff member to an agency)
  • Availability (weekly working hours, days off, public holidays, sick leave, holidays) Option of shared or individual configuration.
  • Regulatory and social constraints (working hours, break times, travel included in working time or not, quota of hours, overtime, etc.)

Customer configuration:

  • Contact information, type of contract
  • Agency responsible
  • Hours the customer is available (hours present or open)
  • Appointment times and possible leeway

Configuring visits to be carried out:

  • Type (delivery, installation, maintenance visit etc.
  • Geographic location of the visit, (to minimise travel time)
  • Forecast length of time of the visit

  • Range of dates during which each visit must be made. This enables service contracts to be taken into account (intervention within 2 hours or 1 day) but it also lets you jointly plan preventive (visit to be made once a month) and curative (intervention within 8 hours) maintenance
  • Skills and resources required to carry out the visit (accreditation, expertise, capacity)
  • Concepts of priority and optional tasks
  • One-off or regular visits
  • Option of creating visit templates (length of time, skills required for each type).
  • Inclusion of a maintenance task during a repair call, management of primary and secondary sectors of intervention.
  • Option of creating visit templates (duration, skills required for each type).

Optimisation rule configuration:

  • Searching for optimal solutions corresponds to your business objectives.
  • Search automatically for a solution that optimises travel time and distance.
  • Gear optimisation towards your objectives (reduce costs, increase productivity, improve quality, comply with contract commitments, increase customer satisfaction, guarantee your employees compliance with labour agreements, etc.)
  • Optimise handling of preventive tasks or tasks that can be planned for the long term based on importance.
  • Optimise overall business by logically consolidating tasks that may coincide (time, resource, geography).
 

4/ Architecture of the solution

Opti-Time RMS is organised on the basis of a Web application in an Apache/Tomcat environment, which operates on Windows Server or Linux.


Persistence of data

Opti-Time RMS operates with a relational database, in this case MySQL, SQL Server or Oracle, which ensures the autonomy of data management and data persistence.
 

Optimization engines

Opti-Time has 2 optimisation technologies, one oriented towards real time scheduling the other to road mapping.
According to business needs one or the other of the two engines are used for optimal planning of resources.
 

Business layer

This is the interface which enables the customer's needs to be transposed into technical constraints managed by the engines.
It enables the user interfaces to be configured to the company's specific nomenclature and to implement business rules
governing organisation of mobile teams.
 

Integration modules, Communication and Reporting


Opti-Time Data Integrator

Opti-Time has designed a module to facilitate integration with the company's information system based on Talend's ETL tool: Talend Open Studio.

Opti-Time Mobile

Opti-Time has designed a module to manage communication with field teams: alerts via SMS or e-mail,
connection from a PDA (Android, Iphone, BlackBerry, Windows Mobile, etc.) to the planning tool, transmission of reports

Opti-Time Mobile also provides services enabling real time interaction with satellite positioning solutions and vehicle tracking solutions.
