Technical characteristics
Opti-Time On Demand schedules visits and optimizes routes according to customer requests, the number of crews and the skills required for the visit, the estimated duration, the availability and constraints of your staff, the distances to cover, etc.
A “Full Web” application
The Opti-Time On Demand application is fully accessible on the internet (“SaaS”). Users can log on to their account with a user name and password, any time, anywhere.
- Administrator and user profiles, configuration of permissions and displays for each profile
- Customizable interface: customization of labels, adaptation to your graphic style standard.
- Ergonomic interface: Navigation via tabs, internal search engine (to quickly find a resource, a customer, etc.), zooming, etc.
Using the numerous configuration options, you can generate customized schedules, perfectly suited to your business and your organization.
This data can be imported from an Excel file, and can be changed manually via the web interface.

Colonne Configuring your staff data:
- Personal information (family name, given name, e-mail address ...)
- Skills (plumber, electrician, etc.), level of expertise (senior, junior, etc), status (fixed-term contract, sub-contractor)
- Assigned sector (geographic zones for visits, main and secondary)
- Address of agencies and staff (option of attaching a staff member to an agency)
- Availability (weekly working hours, days off, public holidays, sick leave, holidays) Option of shared or individual configuration.
- Regulatory and social constraints (working hours, break times, travel included in working time or not, quota of hours, overtime, etc.)
Specific customer-related information:
- Contact information, type of contract
- Agency responsible
- Hours the customer is available (hours present or open).
- Appointment times and possible leeway
| Colonne 2 Configuring visits to be carried out:
- Geographic location of the visit, (to minimise travel time)
- Forecast length of time of the visit
- Range of dates during which each visit must be made. This enables service contracts to be taken into account (intervention within 2 hours or 1 day) but it also lets you jointly plan preventive (visit to be made once a month) and curative (intervention within 8 hours) maintenance
- Skills and resources required to carry out the visit (accreditation, expertise, capacity)
- Concepts of priority and optional tasks
- One-off or regular visits
- Option of creating visit templates (length of time, skills required for each type).
- Inclusion of a maintenance task during a repair call, management of primary and secondary sectors of intervention.

Displaying and modifying schedules:
Intervention schedules generated by Opti-Time On Demand are flexible, customisable and can be modified in real time. You can display and export relevant schedules according to your needs.

Colonne 1 Displaying schedules:
- Displaying different periods(day, week from Monday to Friday, week from Monday to Sunday, month). Option of easily changing display periods, start and end dates.
- Displaying the overall schedule or the individual schedules for each mobile technician
- The display can be refreshed in order to obtain up-to-date information (when several users are working on the Opti-Time schedule at the same time or when a technician updates the status of a call from a PDA)
- Actions possible from the schedules: Each box in the schedule represents a visit planned by Opti-Time and can be changed with a single click. You can change the status of a visit (scheduled, started, finished, frozen), edit the visit, the customer, the task order or even the technician assigned to the visit, put the visit on hold or automatically re-schedule it.
Displaying on maps:
- Two types of map can be displayed: a detailed map showing the exact route of a technician’s round, and a dynamic map, displayed via Microsoft’s “Virtual Earth” service. (This type of map requires a subscription to the service).

Changing schedules in real time:
With Opti-Time On Demand, you can change your schedules in real time. Your call centre staff can add or change a visit with a few clicks. In a few seconds, it will be automatically integrated into your schedules, in line with your constraints. - Automatic creation of new visits, or manual mode (to force assignment to a timeslot or a given technician)
- Integration of new visits by appointment, specially adapted to the call centre: display of different time slots available during the week.
- Re-optimization in real time (2 to 5 second response time in the most complex cases)
